  • You request a quote or information regarding our service

  • You contact us by post, telephone, e mail, social media or Cloud accounting software (for example when you have a question or query about a service)

We also receive personal information indirectly, from the following sources in the following scenarios:

  • From third parties or publicly available information such as an employer

We use the information that you have given us in order to:

  • Carry out our obligations arising from agreements entered into between yourselves and us
  • Carry out our obligations arising from agreements entered into between our clients and us where you maybe a customer, supplier or subcontractor of our client (in order to carry out the provision of our services)
  • Provide you with information requested relating to our services, for example in order to provide a quote
  • Notify you about any changes to our services or key relevant information that we feel would be of interest or beneficial to you as a client (for example key HMRC updates)
  • For marketing purposes (with your specific consent)

We may not be able to carry out our service or be able to fulfil our contract with you if certain information is not provided when requested or is refused (this includes information required by ourselves to comply with legal obligations such as Anti Money Laundering due diligence).

We may share this information with third party providers such as IT and cloud services, professional advisory services, Marketing services (with your consent) and banking services. We may also process and share your personal data without your consent where we are required to by law.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information 

Your information is securely stored at Upper Hill, Chetwynd Aston TF10 9LG and on a secure virtual Server. Some information is stored within Cloud Accounting Software. This is to ensure that there are sufficient back up measures to allow recovery of data in the event of accidental loss or damage.

Your personal data is only stored for as long as required to fulfil the purpose for which it was collected. Your personal data is restricted to authorised personnel who have a business need to know. They are bound to a strict confidentiality clause.

If your data is subject to a suspected security breach we will notify yourself and any regulator where we are required to do so.

The retention period by which we keep your personal data is subject to the following considerations:

  • The requirements of our business and the service provided
  • The purpose for which we collected the data
  • The type of personal data held

We will only retain your personal data for as long as required in order to fulfil the purpose for which it was collected. We will then dispose of your information by deleting it from all servers held, making inactive on cloud accounting software until such time as statutory regulation has passed or by shredding in the case of physical copies.

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
